For solo bookkeepers who quote cleanups
Stop guessing what a cleanup is worth.
Nine questions in, ScopeGuard returns a defensible hours estimate, a fee range and a client-ready scope document โ with every multiplier shown, so you can justify the number instead of apologising for it.

01 โ The problem
The two ways a cleanup goes wrong
You quote from a gut feeling, then eat sixty unbilled hours. Or you pad the number so heavily the prospect walks. Both come from the same root cause: no written model, and no written scope.
- โIt's only a few months behindโ โ it was fourteen, on paper receipts.
- Payroll and sales tax appear after you've already sent the fee.
- The client goes quiet for three weeks and the timeline slips.
- Nothing in writing says what re-opens the price.
02 โ Method
How it works
- 01
Answer nine questions
Months behind, accounts, monthly transaction volume, how the records arrive and what makes the file messy.
- 02
See the arithmetic
Base hours, per-account hours and each multiplier shown separately โ with a low/high range and a recommended fee.
- 03
Send the scope
Edit the generated scope lines, then share a link or hand over a printed copy the client can sign off on.
03 โ Inside
Built for defensible pricing
Deterministic estimate engine
No AI guesswork. Volume, months behind, source format and complexity toggles run through published multipliers you can defend line by line.
Scope document that writes itself
Included, Excluded, Assumptions and Change-order triggers are generated from the answers, then fully editable before you send.
Shareable client page
One unguessable link shows the client the fee and the scope โ no login, no PDF attachment ping-pong, print-ready when they want paper.
Scope creep has a paper trail
Every trigger states what re-opens the fee. When the client drops a shoebox in month three, the answer is already written down.
04 โ Field notes
What bookkeepers say
โScopeGuard turned my 'gut feel' quotes into something I can explain to clients. The multiplier breakdown alone has saved me from scope creep twice this quarter.โ
Giulia Marchetti
Freelance bookkeeper
โI sent my first scope document within ten minutes of signing up. My client signed off the same day.โ
Luca Ferretti
Cleanup specialist
โThe deterministic engine means I never have to defend a random number. Every fee has a paper trail now.โ

06 โ Questions
Questions
How is the estimate calculated?+
Pure arithmetic. A base hours figure derived from months behind and monthly transaction volume, plus per-account reconciliation hours, multiplied by published factors for source format, payroll, sales tax, inventory, multi-entity, foreign currency, AR/AP, mixed funds, prior reconciliations and client responsiveness. The full breakdown is always visible.
Does ScopeGuard use AI?+
No. The engine is deterministic, so the same answers always produce the same number and you can explain every multiplier to a client.
Can I override the fee?+
Yes. The recommended fee is a starting point; you can set your own hourly rate, buffer percentage and minimum fee, and override the final number on any quote.
What does the client see?+
A clean, branded page with your firm name, the fee, and the four scope sections. No pricing internals, no hours, no multipliers.
Is there a free tier?+
Yes โ three quotes free, no card required. Paid plans lift the cap to unlimited quotes.
